A meaningful share of your salaried workforce now works from a kitchen chair, a laptop on a dining table and whatever lighting the room happened to have. Nobody assessed it, nobody trained anyone on it, and the discomfort that results gets treated as a personal problem.
It is not entirely a personal problem. Work-related musculoskeletal injuries do not become non-work-related because the desk is in someone house, and an injury arising out of and in the course of employment can be compensable regardless of location. Recordability similarly turns on work-relatedness rather than on address.
That does not mean you are expected to inspect employees homes. It does mean doing nothing is a choice with a cost.
What employers can reasonably do
Self-assessment with a real checklist. A short structured evaluation employees complete themselves, covering chair, monitor height, keyboard and mouse position, and lighting — with a path to request adjustment. Cheap, fast and it surfaces the worst setups.
An equipment policy. Decide what you provide or reimburse and say so. An external monitor, keyboard, mouse and an adequate chair are inexpensive against a single shoulder or neck claim, and ambiguity means employees buy nothing and adapt badly.
Early symptom reporting. The same principle that governs the plant floor applies here and matters more, because there is no supervisor watching. MSDs announce themselves as discomfort weeks before they become claims, and remote employees have no natural path to report it. Give them one.
Training that is specific. A slide deck about ergonomics accomplishes nothing. Five concrete adjustments, with photographs, that someone can make in ten minutes does.
The setup guidance worth passing along
The laptop is the core problem. A laptop forces a choice between a screen too low and a keyboard too high. You cannot fix that with posture. Either raise the laptop and add an external keyboard and mouse, or add an external monitor and use the laptop keyboard. Either works; using a bare laptop on a table for eight hours does not.
Monitor height and distance. Top of the screen at roughly eye level, about an arm length away, directly in front rather than off to one side. A neck held rotated or flexed for hours is the most common driver of the upper-back and neck complaints people describe.
Chair and support. Feet flat with thighs roughly parallel to the floor, lower back supported. A footrest solves the too-tall-desk problem for a lot of people and costs almost nothing. A stack of books works.
Arms and wrists. Elbows near the body at roughly a right angle, wrists straight rather than extended. Most kitchen tables are too high for this, which is why the chair-plus-footrest combination matters.
Sit-stand desks help if you actually alternate. The benefit comes from changing posture, not from standing. Standing all day produces its own problems — leg, foot and lower-back complaints. Alternate on a rhythm rather than by inspiration, and use a mat if you stand on a hard floor.
Lighting is underrated. Glare on a screen and insufficient task light both drive people into bad neck positions as they crane to see. Position the screen perpendicular to a window rather than facing it or backing it, and add a task lamp.
Movement beats equipment. No configuration is good for hours without change. Standing up, walking and looking at something distant every half hour or so does more than any single purchase.
The part people get wrong
Most companies address this with a one-time email containing a diagram of correct posture. That changes nothing, for the same reason that lifting technique training does not reduce back injuries — you cannot train someone into tolerating a workstation that does not fit them.
The things that actually work are the ones that change the setup: providing the equipment, giving a structured way to identify what is wrong, and making it easy to say something hurts before it becomes a claim.
